Colder ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our cold email outreach platform.
Information We Collect
Account Information
When you sign up for Colder, we collect your name, email address, and password hash. You may also provide SMTP configuration details to enable email delivery through your own mail server.
Prospect Data
You upload prospect contact information (names, email addresses, company details) for use in email campaigns. You control this data — we only process it to deliver your outreach.
Usage Data
We collect anonymized usage analytics to understand how Colder is used and to improve the product. This data does not identify individual users.
How We Use Your Information
- Deliver and personalize your email outreach campaigns
- Send transactional emails (confirmations, password resets, billing)
- Provide customer support
- Improve our product and detect abuse
We never sell your data to third parties or use your prospect data for any purpose other than delivering your campaigns.
Data Retention
We retain your account data for as long as your account is active. If you delete your account, we anonymize your personal information immediately and permanently remove all associated prospect and campaign data within 30 days.
Your Rights (GDPR & CCPA)
Depending on your jurisdiction, you may have the right to:
- Access — request a copy of your personal data
- Rectify — correct inaccurate personal data
- Erase — request deletion of your personal data ("right to be forgotten")
- Restrict processing — limit how we use your data
- Port — receive your data in a machine-readable format
- Object — opt out of certain processing

Right to Be Forgotten — Delete Your Account
You can permanently delete your Colder account and all associated data at any time, without contacting support. Deletion removes all prospect records, campaigns, email history, and your profile — and sends a confirmation email to your address before anonymization.
To delete your account and all data, go to Dashboard → click "Delete Account" in the navigation bar.
You'll be asked to type "DELETE" to confirm. Your account is anonymized immediately and permanently deleted from our systems within 30 days.

We use industry-standard encryption (TLS) for data in transit and bcrypt hashing for passwords. Our infrastructure is hosted on Render with Neon PostgreSQL, which includes encryption at rest.
Cookies
Colder uses minimal cookies — only a session token to keep you logged in. We do not use third-party tracking or advertising cookies.
Third-Party Services
- Stripe — payment processing. We store your Stripe customer ID but not payment card details.
- OpenAI — email drafting. Your prospect data is sent to OpenAI solely for AI generation; we do not store AI outputs beyond the associated campaign.
- SMTP Providers — we send outbound email through your configured SMTP server. We do not have access to your SMTP credentials after initial configuration.
Children
Colder is not directed at individuals under 18. We do not knowingly collect data from minors.
Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with an updated "Last updated" date. For significant changes, we will notify you via email or a prominent notice in the app.
